About this policy
This Privacy Policy explains how Urban Beauty Services Ltd, trading as The Art of Nails (AON), collects, uses, stores and shares your personal information. We handle your information in accordance with the Privacy Act 2020.
This Privacy Policy applies to information AON collects and handles. Our booking platform — Fresha — also collects and processes information about you under its own privacy and customer terms; that relationship is explained in detail below.
Important: when you book with AON, you also join Fresha
All our bookings, appointments, payment processing, and member-portal access are operated through Fresha — our booking platform. When you make a booking with AON, whether online, by phone or in person, an account is created or updated in Fresha on your behalf.
That means two things you should be aware of:

AON collects, holds and uses information about you under this Privacy Policy.

Fresha — as a separate company providing the booking, payment and member-portal services — also collects, holds and uses information about you under its own privacy policy and customer terms. By using our services you are also agreeing to Fresha's terms.

They explain what Fresha does with your information independently of AON, including how Fresha may use your information for its own purposes, what other Fresha-listed merchants may see (for example, any reviews you leave), and how Fresha holds and transfers your data internationally.
We recommend reading Fresha's policy as well as ours. If you do not wish to use a Fresha account, you can ask us to book you in by phone — but please be aware that a Fresha record will still be created so we can manage your appointment, take payment, and (if applicable) operate your AON Membership.
What we collect
When you book a service, sign up for the AON Members' Programme, or join AON Rewards, we may collect:

Your name, email, mobile number and (optionally) date of birth

Your booking history, service preferences, technician notes

Your payment card information — held by Fresha as our payment processor, not by AON

Communications between you and us (SMS, email, in-salon notes)

Your AON Rewards points balance and redemption history

If you join the AON Members' Programme: your tier, included-session usage, and any membership pauses or changes

Photographs of your finished nails — only where you've consented (we'll always ask first)

Who we share it with
We share your personal information with:

Fresha — our booking platform and payment processor. Fresha holds your account, booking history, communications and card-on-file payment information. Fresha is headquartered in the United Kingdom and processes data in Australia. See the section above for important details about your separate relationship with Fresha.

Our staff — technicians and Salon Managers at the salon where you are booked, and at other AON salons if you book across sites or are an AON Member

Third-party service providers — for example our accounting software, email and SMS providers — only as needed to operate the business and only to the extent necessary

Regulators or authorities — where we are required by law to disclose information
We do not sell your personal information to anyone.
Where your information is held
Most of your information is held by Fresha and processed in Australia, under Fresha's own privacy framework. We also hold some information ourselves in New Zealand (in our accounting software, in-salon files, and email systems).
By signing up for our services you consent to your information being held and processed in New Zealand and overseas (primarily Australia, via Fresha) for the purposes described in this Policy.
How long we keep it
We keep your personal information for as long as you are a customer and afterward only as long as we are legally required (typically seven years for tax and financial records). You can ask us to delete your information earlier — see your rights below.
Information held by Fresha is retained according to Fresha's own retention policy; please refer to Fresha's policy for details.
Marketing communications
We only send marketing communications (SMS, email) if you've consented when booking or signing up. You can opt out at any time by:

Our website (theartofnails.co.nz) uses cookies for basic site functionality and, where you've consented, analytics. You can disable cookies in your browser; some site features may not work as well without them. Fresha's own site (where our booking page is hosted) sets its own cookies under Fresha's policy.
Your rights
Under the Privacy Act 2020, you have the right to:

To exercise any of these rights, email hello@theartofnails.co.nz with "Privacy request" in the subject line. We will respond within 20 working days as required by the Privacy Act.
Note: requests relating to information held by Fresha (such as your booking history within the Fresha system, or your payment card on file) may also need to be directed to Fresha under their own privacy policy. We will assist where we can.
Children
We do not knowingly collect personal information from anyone under 13. If a child under 16 attends a salon, we collect only what is necessary to provide the service safely, and only with parental or caregiver consent.
Changes to this Policy
We may update this Privacy Policy from time to time. The current version is always at theartofnails.co.nz/privacy. Material changes will be notified on the website and, where relevant, by email or SMS at least 14 days in advance.
